Who we are

Bournemouth, Christchurch and Poole (BCP) Council is the controller responsible for your personal data. This privacy notice provides information on how we collect and process your personal data when you sign up to BCP LIFE and throughout your BCP LIFE membership. It applies to both participating residents and individuals liaising with us on behalf of participating local businesses.

Our general privacy notice contains more detailed information about our data processing, how to contact us, how to exercise your legal rights and how to make a complaint. You should read that in conjunction with this privacy notice.

What we do

BCP LIFE is a promotional, voluntary initiative from BCP Council, designed to support local residents and businesses. Residents who sign up for a BCP LIFE card are able to access a range of offers from participating businesses across Bournemouth, Christchurch and Poole upon presenting a valid BCP LIFE card. 

The purposes we use your personal information for

We collect and process your personal information to provide these services to you. This will include to:

  • verify proof of resident eligibility for BCP LIFE membership
  • manage our relationship with local business owners and their personnel
  • process applications and register local residents and businesses as members of BCP LIFE
  • maintain a record of the local residents and businesses that are members of BCP LIFE
  • communicate with BCP LIFE members by their preferred means
  • keep BCP LIFE members informed about the BCP LIFE initiative
  • promote BCP LIFE
  • recommend products, services and offers which may be of interest to BCP LIFE members
  • form insight and analytics regarding take up and usage of the BCP LIFE initiative - this will enable us to manage the BCP LIFE initiative and inform and determine future offers available through BCP LIFE
  • meet our obligations set out in the BCP LIFE terms and conditions with both local residents and businesses

The personal information we collect and use

We only obtain and use the information we need to operate the BCP LIFE initiative. We collect this information from you directly when you sign up to participate in BCP LIFE.

 This includes the following types of personal information:

  • name
  • postal address
  • email address
  • date of birth
  • vehicle registration
  • phone number

We also generate the following personal information about you, or obtain it from third parties:

  • BCP LIFE card number
  • Take up and usage data (we obtain this from third parties such as but not limited to RingGo, Gladstone LMS and Adventure Attractions, that we have partnered with to deliver the BCP LIFE initiative)

Marketing

If you have consented to this, we may send you marketing communications by email about products, services and offers which may be of interest to you. We will only ever send you marketing communications on behalf of third parties if you have specifically consented to receive marketing from those third parties.

The GDPR/DPA conditions we meet

The lawful basis that we rely on to process your personal information is:

  • Contract: the processing is necessary for the performance of a contract we have with you, or because you have asked us take steps before entering into a contract with you. This includes where you are a resident signing up to participate in the BCP LIFE initiative.
  • Legitimate interests: the processing is necessary for our legitimate interests and the legitimate interests of third parties, to support local residents and support and grow local businesses. We only rely on this where our activities fall outside of our public tasks as a local authority and only where the legitimate interests pursued do not outweigh your individual rights and freedoms. We primarily rely on legitimate interests as our lawful basis for managing relationships with local business owners and their personnel.
  • Consent: you have given consent for us to process your personal data for a specific purpose, or purposes. This incudes if you give your consent to receive marketing communications from us.

How to withdraw your consent

Where you have been asked to provide your consent to receive marketing communications, you can withdraw it at any time. If you wish to withdraw your consent, please make your request to withdraw consent to our customer services team.

Remember to tell us which service or services your request applies to, so that we know who to send it to within BCP Council.

If you withdraw your consent to receive marketing communications, you may still receive service-related communications that are essential for administrative or customer service purposes.

Who we may share your information with

We use a range of organisations to either store personal information or to help deliver our services to you. Sometimes we have a legal duty to provide your personal information to other organisations.

In order to operate the BCP LIFE initiative, we may share your personal information with the following organisations:

  • RingGo, for the purpose of providing BCP LIFE members with free or discounted parking in eligible carparks, in accordance with current BCP LIFE offers
  • SmartCitizen, the provider of our internal software, for the purpose of us managing the BCP LIFE initiative and memberships
  • Gladstone LMS, for the purpose of providing BCP LIFE members with free or discounted activities at BCP leisure centres, in accordance with current BCP LIFE offers
  • Adventure Attractions and other organisations we have partnered with from time to time, for the purpose of providing BCP LIFE members with products, services or offers at relevant locations, in accordance with current BCP LIFE offers
  • We may also share your personal information with other services within BCP Council, where relevant, for the investigation and response to any complaint you may make

How long we keep information about you

We review our retention periods for personal information on a regular basis. In some instances, we are legally required to hold certain types of information to fulfil our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

Your personal information will be retained whilst you or your business are a BCP LIFE member and will be deleted after you exercise your right to cancel your BCP LIFE membership in accordance with the BCP LIFE T&Cs.
